COMPANY OVERVIEW:

AlphaGraphics Middleton is growing, and we need your help. We are looking for a Project Coordinator with the potential for Inside Sales. Our family-owned business specializes in marketing and communication products, including graphic design, printing, and signs. Experience in any of these areas is helpful, but what really counts is your personality and work ethic. If you like people and have a positive, upbeat attitude, we can train you to be a success.

WHAT WE EXPECT OF YOU:

Orders: Process orders and follow through on the order and billing information to ensure client expectations are met or exceeded. Document all order activity including client inquiries, acknowledgments, art proofs, delivery commitments, etc.
Quotes: Estimate general quotes by order specifications and compile information in an easily reviewed format for the sales rep. Provide quotes to clients once approved.
Vendor relations: Foster and maintain positive vendor relationships
Communications/Correspondence: Professionally handle communications with manufacturers, clients, and vendors via phone, mail, and email. All messages are to be returned the same day or within 24 hours.
Client relations: Develop and maintain a positive relationship with clients.
Deadlines: Meet or exceed deadlines.
Understand and anticipate customer needs and expectations, and professionally manage those needs and expectations.
Attend and participate in daily production meetings, and provide relevant and current updates to attendees
Answer questions and resolve issues related to working in progress
Perform and/or participate in press checks as required
Forward proofs to customers and assist customers in the proofing process
Monitor the progress of orders throughout the system
Provide competent backup for other members of the customer service group
Maintain organized customer files and records

WHAT YOU BRING TO THE TABLE:

Ability to interact with clients and vendors and build relationships.

Must be comfortable multi-tasking in a fast-paced office to meet customers’ needs
Ability to communicate professionally and effectively both verbally and in writing.
Ability to work with minimal supervision within the guidelines of assigned projects.
